Terms & Conditions

These Terms & Conditions ("Terms") govern the booking and attendance of SWAN Academy, scheduled for 27 September 2026 at Anna Centenary Library, Kotturpuram, Chennai ("Event"). The Event is jointly presented by SWAN — the South Indian Film Writers' Association — and IP Climb, and is operated through this Site by Fipchain Technology Private Limited, #7, S3, AB-Block, Dhivyavarshini Flat, Govindasamy Street, Palavanthangal, Chennai, Tamil Nadu, India - 600114 ("Fipchain", "we", "us", or "our"). By booking a pass or attending the Event, you acknowledge that you have read, understood, and agreed to these Terms.

1. Pass types and pricing

Passes may be offered under different categories, including Early Bird, General, and Film School Student. The applicable price is the one displayed on the Site at the time of booking, in Indian Rupees and inclusive of applicable taxes unless stated otherwise. The Film School Student pass is available only to eligible students — a valid student ID must be uploaded during booking and may be required at the venue for verification. Passes are subject to availability, and we may modify pass categories, pricing, or availability before booking.

2. Booking and payment

A pass is confirmed only on successful payment and issuance of a booking confirmation. Payments are processed through Razorpay, our designated payment gateway — we do not directly store your card, UPI, net banking, or other payment credentials; these are processed by Razorpay under its own security practices and terms. You are responsible for providing accurate booking information (name, email, contact details, and, where applicable, student ID details), and we are not responsible for errors arising from information you supply incorrectly.

3. Booking confirmation and entry

Your booking confirmation and pass are sent to the email address provided at registration. Please arrive by 9:30 AM for registration and entry formalities, and present your booking reference/pass for verification. Film School Student pass holders must carry the valid student ID matching the details submitted at booking. Entry can be denied where a booking cannot be verified, inaccurate or fraudulent information was provided, eligibility requirements are not met, or reasonable venue/Event requirements are not followed.

4. Cancellation and refunds

Cancellation and refund requests are governed by our Cancellation & Refund Policy, which is available on the Site and forms part of these Terms. Unless that Policy states otherwise, a booking is not refundable merely because you are unable or choose not to attend. Approved refunds are generally processed through the original payment method, subject to the applicable payment gateway's timelines.

5. Event cancellation or postponement

We may cancel, postpone, reschedule, or modify the Event due to venue issues, government restrictions, safety concerns, force majeure, or other circumstances beyond reasonable control, and will make reasonable efforts to notify confirmed attendees using the contact details provided at booking. If the Event is cancelled, refund entitlement is determined under the Cancellation & Refund Policy or the specific cancellation communication. If postponed or rescheduled, previously issued passes may, subject to our decision and availability, remain valid for the rescheduled date or be dealt with under that Policy. We are not responsible for travel, accommodation, or other incidental expenses incurred in connection with the Event.

6. Changes to the Event programme

Speakers, panel discussions, workshops, sessions, activities, and timings are subject to change. We will make reasonable efforts to communicate material changes to confirmed attendees. A change to a speaker, session, timing, or programme element does not by itself entitle you to a refund, except as expressly provided in the Cancellation & Refund Policy.

7. Attendee responsibilities and code of conduct

You must comply with these Terms, reasonable instructions from Event organisers/staff, and applicable venue rules, and must not disrupt the Event, threaten or harass others, damage venue property, or violate applicable law or venue rules. We may refuse entry or require you to leave where your conduct materially violates these Terms or creates a safety/security concern, and no refund is necessarily payable where you are removed for violating these Terms or venue rules.

8. Photography, video, and Event recording

The Event can be photographed, filmed, audio-recorded, or otherwise documented for Event documentation, archival, publicity, marketing, and promotional purposes relating to SWAN Academy, SWAN, IP Climb, and/or the Event. By attending, you acknowledge you can appear incidentally in Event photographs, recordings, or other Event-related content. We will make reasonable efforts to avoid intentionally identifying or prominently featuring an attendee who has raised a specific objection, subject to the practical limitations of recording a public Event. You must not record or commercially exploit Event sessions, presentations, or performances without our prior permission or that of the relevant rights holder.

9. Personal data and privacy

Information collected during booking — including your name, email, contact details, payment-related information, and, where applicable, student ID information — is used to process and confirm bookings, verify pass eligibility, facilitate entry/registration, communicate Event information, administer refunds, and comply with applicable legal requirements. Payment credentials are processed through our payment gateway and are not directly stored by us. Personal information is handled in accordance with our Privacy Policy; please do not provide documents or personal information beyond what is reasonably required for booking and Event administration.

10. Intellectual property

Trademarks, logos, Event branding, Site content, graphics, text, photographs, videos, and other Site/Event materials are owned by, or used with permission by, the relevant rights holder. Nothing in these Terms grants you ownership of or a licence in such intellectual property except as necessary to access and attend the Event. Unauthorised commercial use, reproduction, or exploitation of Event materials can constitute infringement of applicable intellectual property rights.

11. Limitation of liability

To the maximum extent permitted by applicable law, Fipchain is not liable for indirect, incidental, special, or consequential loss arising from the Event or your attendance at, or inability to attend, it. We are not responsible for loss or expenses relating to travel, accommodation, or other arrangements you make independently. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.

12. Force majeure

We are not liable for delay, cancellation, postponement, or inability to conduct the Event resulting from circumstances beyond reasonable control — including natural disasters, extreme weather, government restrictions, public emergencies, strikes, venue unavailability, technical failures, or other force majeure events. We will make reasonable efforts to communicate relevant information to registered attendees and determine the appropriate course of action.

13. Governing law and jurisdiction

These Terms are governed by the laws of India. Subject to applicable law, the courts at Chennai, Tamil Nadu, have jurisdiction over disputes arising out of or in connection with these Terms or the Event.

14. Indemnity

To the fullest extent permitted under applicable law, you agree to indemnify, defend, and hold harmless Fipchain Technology Private Limited, SWAN, IP Climb, and their respective directors, officers, employees, representatives, organisers, partners, and service providers from any claims, losses, liabilities, damages, penalties, costs, and expenses (including reasonable legal fees) arising out of or in connection with:

This indemnity applies only to the extent the claim, loss, liability, damage, or expense is directly attributable to your act, omission, breach, or misconduct, and does not require you to indemnify anyone for loss or liability arising from that person's own negligence, wilful misconduct, or breach of applicable law. We will give you reasonable notice of any claim for which indemnification is sought and reasonable cooperation in its defence, while retaining control over the defence and settlement of any claim where our rights or interests are materially affected.

16. Acceptance of Terms

By purchasing or booking a pass through the Site, you confirm that you have read and understood these Terms, that the information you provide is accurate, that you agree to comply with Event and venue requirements, and that you agree to the applicable Cancellation & Refund Policy and Privacy Policy.
